About the Role

We’re looking for a personable, highly organized Administrative Assistant to be the first point of contact for our studio. You’ll welcome visitors, support meeting and calendar logistics, keep our office running smoothly, and provide day‑to‑day administrative support to the Leadership team and Marketing Director. This is an excellent role for someone who enjoys helping others and takes pride in creating an exceptional client and employee experience.

What You’ll Do

  • Greet clients/visitors and ensure meeting spaces are prepared and professional
  • Manage calls, monitor conference room calendars, and support meeting logistics (A/V and light catering)
  • Maintain reception, meeting rooms, and common areas; oversee mail,packages, and supplies
  • Coordinate with building management and vendors for service requests
  • Assist with letters, proposals, and contract formatting (light typing and proofing)
  • Update contacts/CRM and support basic marketing admin tasks
  • Provide light finance admin support (expense collection/coding) as assigned
  • Support onboarding logistics and office events

What You Bring

  • 2+ years experience in a customer-facing or administrative role
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong communication, attention to detail, and a proactive mindset
  • Ability to prioritize and manage multiple tasks in a fast‑paced environment

Bonus Points

  • Experience in a professional     services setting (architecture, engineering, construction, legal, consulting, or similar).
  • Comfort with CRM systems and Teams/Zoom meeting set‑ups
  • Basic experience supporting expense processing or invoice preparation.
  • Experience assisting with marketing tasks, including proofreading,formatting, and mail merges.

  • Onsite
  • Schedule: Tuesday-Thursday, 20-24 hours a week (Flexible)

Compensation Range

($21.00/hour to $24.00/hour)
